Project Overview

Lead UX Designer – Enterprise Clinical Site Selection Platform

Design an enterprise platform that replaced legacy, manual site selection workflows for clinical trials. This multi-year initiative aimed to centralize fragmented processes, introduce automation where possible, and streamline user workflows through intuitive dashboards and clear task flows.

The Challenge

The existing site selection processes consisted of mostly legacy manual tools, which encountered several challenges, such as inconsistent data and versioning, as well as the need to go to many internal information sources as well as external sources to get the data needed.  There was no UX or design expertise to guide development and there was some disconnect between users and management. Remote work during COVID added collaboration hurdles, and users sometimes could not communicate properly what they wanted or needed.

The Solution

Performed fruitful user research and designed enterprise platform (in phases) that replaced manual clinical site selection with improved workflows and dashboards.  We also automated many of the user’s tasks and some dashboards were powered by AI drastically reduced confusion in discrepancies of incomplete and/or inconsistent data from industry sources.  Often, I introduced new features in the designs that surprised and delighted users and senior management. The newly designed platform provided improved efficiency and decision-making through streamlined UX dashboards and workflow; and integrated AI-driven data analysis.

UX Design Process
1
Introduced UX research to organization
  • Convinced senior management that we need to do in-depth research, and gained their trust
  • Spent 30 – 40 % of my time with users (mostly online)
  • Traveled to conduct user research with users at sites in Paris and Brussels
  • Introduced MIRO to team and users for online collaboration
2
User Journey Mapping, Task Analysis, User Flows
  • Conducted User Task Analysis
  • Created User Journeys, Identified pain points
  • Created User Flows
  • Identified external tools used and feasibility of incorporating in platform (collaborating closely with tech & product)
3
Design & Wireframing
  • Focusing on sections at a time, created wireframe designs
  • Created clear navigation and status indications for stages of workflow
  • Created nice data visualizations for users
  • Identified KPIs to display where needed
  • Validated low-fidelity wireframes with team and users
  • Recommended chart software to use to tech team – they agreed
  • Brought tech up to speed on functionality in designs
  • Many tasks were automated and simplified in the application
