Lead UX Designer – Enterprise Clinical Site Selection Platform

Design an enterprise platform that replaced legacy, manual site selection workflows for clinical trials. This multi-year initiative (done in phases/sections) aimed to centralize fragmented processes, introduce automation and AI where possible, and streamline user workflows through intuitive dashboards and clear task flows.

The Challenge

The existing site selection processes consisted of legacy tools, manual processes,  non-centralised & inconsistent data, which resulted in several challenges for users and the organisation’s business goals.  There was no UX or design expertise to guide development and there was some disconnect between users and management.

The Solution

Designed a centralized platform that provided users dashboards, automation, and improved workflows.  The newly designed platform provided improved efficiency and decision-making for the Site Selection Processes for the organisation.

Introduced UX research to organization
  • Convinced senior management the need to introduce in-depth research, and gained their trust
  • Spent 25 – 30 % of my time with users online but also onsite in Paris and Brussels for contextual inquiries
  • Conducted workshops for different user roles (personas) as well as management roles
  • Documented pain points and missing functionality they need
  • Explored internal and external tools they used and why
  • Worked with users on new ideas and ways of doing their tasks, what would work better for them

Wireframing & Design
  • Starting with low-fidelity wires allowed me to iterate and verify design approach quickly with users & team
  • Created easy navigation on top for the steps (stages)
  • Created role-based dashboards & views, i.e. management view vs user view
  • Added important relevant KPIs
  • Validated low-fidelity wireframes with team and users
  • Reviewers were able to add comments and notes asynchronously in cloud

  • Hi-fidelity dashboards and charts (actual implementation of charts used Amcharts)
  • Initial filters were complex, numerous and unorganized, so I designed visual icons and grouping, as well as progressive disclosure – i.e. common filters were most accessible, as well as simple and advanced views.
  • Designed user and role-based personalization via settings, i.e. which modules, columns for tables, and other items
  • Make important KPI’s stand out with color and size
  • Created slide-in overlays for more detailed information
  • Many manual tasks were automated with displayed results
  • Created library of reusable Figma components (design / style guide)

Prototyping & User Testing
  • Create Figma prototypes from designs
  • Conducted remote and onsite moderated user testing
  • Got developers to observe (it proved beneficial for them)
  • Tested early wireframes as well as high-fidelity prototypes
